Jobs and the board
Every piece of work in the shop is a job. The board is the same jobs arranged so you can see what is stuck.
Jobs arrive three ways: Ava books one from a call, you add one while you are on the phone yourself, or an approved estimate turns into one. However it arrives, it carries the customer, the address, what they said they need, and the call it came from.
The board
The board's columns are people, not stages: one column for unassigned work and one for each person on your crew. Drag a card into somebody's column and it is theirs. If dragging is awkward — and on a phone it is — every card also has an Assign technician dropdown that does the same thing.
A job moves through seven states: unscheduled, scheduled, assigned, en route, on site, done and canceled. Assigning a tech to an unscheduled or scheduled job moves it to assigned on its own, and taking them off walks it back, so the status never contradicts the board.
Assigning a job does not notify anybody. There is no dispatch text, no push and no email — the board changes and that is all that happens. Tell your crew the way you tell them now; Aestar is the record of what was assigned, not the messenger. See Team members for why.
What a job holds
- The customer and the address, with directions one tap away.
- What the caller actually said, and a link to the recording.
- Line items from your price book once there is an estimate.
- Internal notes — gate codes, the dog, where the shutoff is.
- Time logged against it by whoever worked it.
Internal notes stay internal. Customers see what you choose to share with them on their own page and nothing else, so "call before you knock, the baby naps at 2" is safe to write down.
